How to Request a Letter of Recommendation (With Template)

Asking someone to write you a recommendation letter is awkward. You don't want to impose. You're not sure what to say. You're worried they'll say no or write something generic.

Here's the good news: most people are happy to write recommendations when asked properly. The key is making it easy for them.

The Golden Rule: Make Their Job Easy

The biggest mistake people make is sending a vague email that says "Can you write me a recommendation?" This puts all the work on the recommender, and you'll either get a generic letter or no response at all.

Instead, provide them with everything they need.

What to Include in Your Recommendation Request

1. Remind Them Who You Are

If it's been a while since you worked together, briefly remind them of your role, the projects you worked on, and the timeframe.

2. Explain What It's For

Tell them exactly what you're applying for and why. This helps them tailor the letter.

3. Highlight What You'd Like Them to Mention

Suggest 2-3 specific skills, achievements, or qualities you'd like them to focus on. This isn't presumptuous — it's helpful.

4. Provide the Deadline

Give them at least 2-3 weeks notice. Rushing someone is the fastest way to get a mediocre letter.

5. Offer an Out

Include a gracious way for them to decline: "I completely understand if you're too busy — no pressure at all." Ironically, this makes people more likely to say yes.

Following Up

If you haven't heard back within a week, send a brief, polite follow-up. Don't assume they're ignoring you — they're probably just busy.
